Development and Operations Associate

The Development and Operations Associate role is responsible for supporting all aspects of Development and office management. The Development and Operations Associate plays a strategic dual role in assisting the Development Director with the Annual Development Plan and owning clerical duties critical to sustaining a productive office environment. In addition to facilitating donor relations, direct mail appeals, and special events for Development, typical tasks also involve organizing office operations and procedures, correspondence preparation, and file maintenance.

Responsibilities: 

Development

  • Represent the organization with potential donors and referral sources, in a professional, ethical manner that reflects a positive attitude and willingness to assist.
  • Manage CollegeBound’s donor database, DonorPerfect.
  • Assist with preparation of proposals and coordination of materials for timely submission.
  • Conduct preliminary research on prospective corporate foundation and individual donors.
  • Create monthly fundraising reports and other database reports as needed.
  • Manage communications associated with the Lawyers’ Campaign Committee meetings (i.e. prepare and distribute reports, notices, agendas, minutes, etc.).
  • Coordinate production and mailing of Lawyers’ Campaign, year-end appeal letters and quarterly newsletters.
  • Process donations and prepare acknowledgment letters, tax receipts, invoices and other correspondence.
  • Maintain guest lists, gather, prepare registration materials and attend fundraising events.
  • Represent the organization at all workplace campaign events.
  • Assemble donor packets for events and meetings.
  • Prepare materials for distribution. (i.e. copying, filing, mailing, e-mailing)
  • Perform other duties as assigned.

Operations

  • Assist Senior Management with tasks assigned, including correspondence, scheduling of meetings, and organizing materials and schedule in support of quarterly Board of Directors’ meetings.
  • Greet guests at the CollegeBound headquarters.
  • Answer main phone; manage communications as needed.
  • Maintain adequate balances on postage machine and bulk mail account.
  • Manage purchase order system.
  • Prepare monthly credit card expense reports for management team.
  • Maintain supplies inventory for office and field as needed.
  • Perform duties associated with fund deposits.
  • Maintain employee and Board of Directors lists.
  • Prepare documents including, but not limited to annual BCPS contracts, weekly bulletins, and meetings.
  • Perform other duties as assigned.
Qualifications: 

Education and Experience:

  • Bachelor’s degree
  • 3+ years’ experience in an administrative position, preferably in a nonprofit development office

  • Skilled at database management – experience with DonorPerfect preferred
  • Proficiency in Microsoft Word, Excel and PowerPoint
  • Proficiency in Spanish a plus
